The new weight reconciliation module on your Pickrr dashboard gives you a one stop solution to manage all your weight discrepancies and disputes.
  • Identify incorrect weight charges faster: You can automatically check the orders where a higher weight is charged by the courier company. We highlight all new discrepancies and discrepancies where your action is required.
  • Quickly resolve disputes: You can upload the product and package images while raising the disputes on the charged weight leading to quicker resolution. In case of a dispute, the amount difference is put on hold until the dispute is resolved.
  • Dispute History: Logs of all the weight discrepancies and disputes create rich insights into product and packaging optimizations leading to long term impact.
  • Increased Transparency: You have access to the exact updates in the weight on every order removing any mismatches in the wallet deduction.

What are Weight Discrepancies?

All products you ship to your customers are picked by the courier company. The courier company weighs the product at the hub and tells Pickrr the final product’s weight, including the product and packaging material. Sometimes, the weight measured by you can be different from the weight estimated by the courier company. This impacts the final shipping costs of the shipment.
 
In most cases, when the shipping cost is more due to the weight that the courier company sends, it leads to a weight discrepancy issue.
 
There are many reasons why weight discrepancies may arise. One of the reasons is inaccurate measurement of the volumetric weight. Along with this, the machines courier companies have are highly accurate and designed to precisely measure the shipment’s weight along with the dimensions. Since it is difficult to install such machines in your facilities, it is recommended to record and calculate the weight as accurately as possible.

How can you reduce weight discrepancies?

  • Measure weight and volume accurately

Volumetric Weight for eCommerce Logistics
 
Courier companies charge for a shipment using the maximum of the dead weight and the volumetric weight. Dead weight refers to the weight of a shipment on the weighing scale. The volumetric weight of a package refers to the product of the package’s length, breadth, and height divided by a constant. For most courier companies the content used is 5000.
 
Volumetric weight is the same as dimensional weight for a particular package. Imp: Volumetric weight takes the dimensions of the package and not the product into account.

What is order weight vs charged weight?

 
You place an order on Pickrr where you have entered the weight of the order as 0.5KG and dimensions as 10cmx10cmx10cm. This 0.5KG and 10x10x10 becomes the order weight and dimensions. When the courier is shipping your product, the package passes through a weight sorter which accurately measures the dimensions and weight of your products and informs Pickrr that the updated dimensions and weight of the order is 1.2KG and 20cmx20cmx20cm. The Courier company will charge according to the updated weight wiz. 1.2KG. This weight becomes the charged weight and the 20x20x20 is the charged dimensions for this order

With the Weight Reconciliation module, you will be able to
  • View all orders where a higher weight has been charged by the courier than your entered weight
  • Raise a dispute against any discrepancy
  • Track the dispute resolution by Pickrr team and accept or reject the resolution
 
View all weight discrepancies
 
When shipping multiple orders, it becomes difficult to track all the weight discrepancies and billing inconsistencies. With the weight reconciliation module, you will be able to track all the open weight discrepancies raised on your orders. You can search the weight discrepancies using Tracking Id, Order Id, Courier and Discrepancy Status.

 
Navigate to Weight Reconciliation
 
On the left navigation menu, you can see a new weight reconciliation tab.
 
Summary
 
 
On weight discrepancy summary, you will be able to see
  • Total orders and amount on which there are weight discrepancies
  • Discrepancies created in the last 24 hours
  • Discrepancies where the dispute deadline is within the next 24 hours

Discrepancy Status

  • Open: A new discrepancy is created when we receive a different weight from the courier that is entered by you. All new discrepancies are created with Open status.
  • Accepted: You have an option to accept the weight discrepancy directly from the dashboard.
  • Expired: You have 7 days to raise a dispute on a weight discrepancy after it is created. After 7 days, Pickrr will automatically assume the discrepancy is accepted by you and expire.
  • Disputed: All the discrepancies where you have raised a dispute will be disputed. Disputed discrepancies will not expire until the dispute is closed.

Raise a Dispute

You can raise a dispute against any weight discrepancy from the Weight discrepancy section. Disputes can be raised one by one on all orders or through a bulk file upload. It is recommended to enter the verified weight and dimensions along with all the images when raising a dispute against any discrepancy
 
Step 1: Go to Weight Discrepancy tab and click on Raise
 
 
Step 2: Enter all the required details including weight, dimensions and images
 
 
Please keep in mind
  • Disputes can be raised only once against all orders
  • Disputes can be raised only till 7 days after discrepancy is created

View all weight disputes

 
Weight disputes section on the reconciliation tab lists down all the disputes on your orders. You can use this section to search, monitor and download your weight reconciliation history.
 

Dispute Summary

 
You can check the dispute summary under the Weight Dispute panel
  • Total disputes: Total count of disputes and amount under hold on all your orders.
  • Updated Disputes: Number of raised disputes where Pickrr weight desk has updated the weight as part of resolution.
  • New Updates: Number of disputes where weights have been updated within the last 24 hours.
  • Updates Expiring soon: Number of disputes where Pickrr weight desk has updated the weights and will be closed within next 24 hours.

Dispute Status

 
History of all the weight updates and actions on a dispute will be visible against the dispute. You can track the changes in weight and disputes

  • Open: Whenever you raise a dispute against any discrepancy, a dispute is raised in Open status. Once you have raised a dispute, a new task is created for the Pickrr weight desk with all the relevant details. You get an email confirmation for every weight dispute
  • Updated: Pickrr weight desk coordinates with you and the courier partner to rectify the errors in weight at either end. After investigation, the weight desk updates the weight and dimensions of the order and the dispute is Updated.
  • Rejected: Once Pickrr weight desk has updated the weights on the dispute, you can check these disputes in the Updated status. After dispute update, you have 7 days to reject the resolution provided by the Pickrr weight desk. You can track all such disputes in Rejected disputes list.
  • Closed: All disputes once resolved will be marked as Closed. Disputed will be automatically closed if :
     
    1. Pickrr weight desk accepts your weight dispute
    2. You do not reject the weight updated by Pickrr weight desk within 7 da
 
Reject a Dispute Update
You can reject the dispute resolution provided by Pickrr Weight Desk. Please note than you can reject a dispute update only once.
 
Step 1: Go to Weight Disputes and select Updated Disputes
 
Step 2: Click on View Details
 
Step 3: Click on Reject to reject the dispute resolution provided by Pickrr Weight Desk.
 

Terms and Conditions:

 
Please make note of the following while raising disputes.
  • Weight disputes can be raised within 7 days of a new discrepancy. Post that, the discrepancy will expire and the weight given by the courier company will be charged.
  • Please ensure the product and package image with weight and dimensions is clear and accurate. In case of any false images or proof of mischief, the dispute will be rejected by the Pickrr weight desk. Multiple instances of such misconduct may result in account block on Pickrr.
  • A dispute can be raised only once for one order. Weight dispute can be raised only if there is an open discrepancy on any of your order.
  • You get an option to reject the dispute resolution once. Once you have rejected the weight update, subsequent weights and dimensions updated by Pickrr weight desk is considered final.
